Creating a Site

Standard Operating Procedure (SOP) for creating a new site record with site details and address

Objective

This SOP outlines the steps to create a new site in EnviroAutomate. Sites represent the physical locations where environmental work is performed and are linked to a client, client office, and your tenant office.

Prerequisites

The client and client office that this site belongs to must already exist in the system

Key Steps

1. Navigate to the Create Site Page

  • Click Sites in the left sidebar under the TASKS section

  • Click the + Create Site button at the top of the list

2. Enter Site Details

Fill in the required fields (marked with a red asterisk):

  • Name - The name of the site (e.g., "Horsham Service Station")

  • Site Code - A short code used to identify this site. This auto-generates when you select a Client, but you can override it manually. If you clear the field, it will auto-generate again.

  • Your Office - Select the tenant office (your organisation's office) that manages this site

  • Client - Select the client organisation this site belongs to. Selecting a client will filter the Client Office dropdown and auto-generate the Site Code.

  • Client Office - Select the client office that services this site. This dropdown is filtered based on the Client you selected above, so you must select a Client first.

  • Site Type - Choose the applicable site type from the dropdown (e.g., Service Station, Industrial, Commercial)

Optional site details fields:

  • External Reference - An external reference number (e.g., from your company's project management system)

  • Client Reference - A reference number provided by the client

  • Description - A detailed description of the site

3. Enter Address Details

The address section includes a Google Maps address search to help you quickly populate the address fields.

  • Country - Select the country from the searchable dropdown. This defaults to your organisation's country setting and restricts the address search to that country.

  • Address Search - Start typing an address to search via Google Places. Selecting a result will automatically populate the address fields below.

  • Address Line 1 - The street address (auto-populated from search, or enter manually)

  • Address Line 2 - Additional address information (e.g., suite, unit, floor)

  • City - The city or town (auto-populated from search, or enter manually)

  • State/Province - The state, province, or territory (auto-populated from search, or enter manually)

  • Postal Code - The postal or zip code (auto-populated from search, or enter manually)

If you change the Country, the address search will update to search within the newly selected country.

4. Save the Site

  • Review all entered information

  • Click Save to create the site

  • You will be redirected to the Edit page for the newly created site, where you can add further details such as assessment locations, investigation levels, and documents

  • A success notification will confirm the site was created

What Happens on Save

  • If the address you entered has latitude and longitude, EnviroAutomate automatically fetches the planning and regulatory reference data for the site (local government area, planning zones, acid sulfate soil risk, geology). You can review and refresh these values from the Edit page later.

  • If lat/lng are missing, the system tries to geocode the address from your input. If geocoding fails the site is still created and you can fix the coordinates on the Edit page.

Using Address Search

The Address Search field uses Google Places autocomplete to help you quickly and accurately enter the site address:

  • Select the correct Country first - this restricts search results to that country

  • Start typing the address in the Address Search field

  • Select the correct result from the dropdown suggestions

  • The following fields will be automatically populated: Address Line 1, City, State/Province, Postal Code, and Country

  • Review the auto-populated fields and correct any details if needed

  • The search field clears automatically after an address is selected

You can also enter or edit all address fields manually without using the search.

How Site Code Auto-Generation Works

  • When you select a Client, the Site Code field is automatically populated if it is empty

  • You can override the auto-generated code by typing your own value

  • If you clear the Site Code field after selecting a Client, it will auto-generate again

Cautionary Notes

  • You must select a Client before selecting a Client Office - the Client Office dropdown is filtered based on the selected Client

  • All required fields (Name, Site Code, Your Office, Client, Client Office, Site Type, and address fields) must be completed before saving

  • The Site Code is used in naming conventions, so choose it carefully if overriding the auto-generated value

  • Ensure the correct Country is selected before using Address Search to get relevant results

Tips for Efficiency

  • Use the Address Search feature to save time and ensure accurate address data

  • Select the correct Country before using Address Search to get the most relevant results

  • Let the Site Code auto-generate by selecting the Client first, then override only if your organisation has a specific naming convention

  • After creating the site, you will be taken to the Edit page where you can add assessment locations, investigation levels, receptors, and documents

  • Use the bulk import feature if you need to create many sites at once - see the Creating New Sites in Bulk article
