Editing a Fieldwork Task

Standard Operating Procedure (SOP) for editing a fieldwork task's details, entering field data, uploading laboratory data, and managing documents

Objective

This SOP outlines how to edit an existing fieldwork task in EnviroAutomate. The Edit Fieldwork Task page uses a tabbed layout with four tabs: General, Field Data, Laboratory Data, and Documents.

Prerequisites

  • You must be logged in as a standard user or administrator

  • The fieldwork task must already exist in the system

Key Steps

1. Navigate to the Fieldwork Task

  • Click "Fieldwork Tasks" in the left sidebar under the Tasks section

  • Find the task you want to edit in the list

  • Click on the task row, or click the edit icon (pencil) in the Actions column

  • You will land on the General tab by default

2. Update General Information (General Tab)

Modify any of the following fields as needed:

  • Name - Update the fieldwork task name. Must be unique within your organisation.

  • Fieldwork Task Type - Displayed as read-only text on the Edit page. The task type cannot be changed after creation.

  • Dispatch Now? - Check this box to dispatch the task to the assigned technician

  • Description - Update the task description

3. Update Associations

  • Project - Change the project this task belongs to. Changing the project will update the available sites.

  • Site - Change the site where fieldwork will be performed. Filtered by the selected project.

  • Client Reports - Add or remove linked client reports. Filtered by the selected project and site.

Parent Task Dependencies are displayed as read-only on the Edit page, showing any parent monitoring events this task depends on.

4. Update Assignment and Timeline

  • Assign to Field Technician - Change the assigned technician

  • Start Date - Update the planned start date

  • Due Date - Update the planned due date

5. Update Status

The Status field is only available on the Edit page (not during creation). Change the task status as it progresses through the workflow (e.g., Draft, Dispatched, In Progress, Completed).

6. Save Changes

  • Review your changes

  • Click "Save" to update the fieldwork task

  • The page will remain on the General tab with a success notification

7. View Audit Log (Optional)

  • Click the "View Audit Log" button at the top of the page to see the complete change history

Available Tabs

The Edit Fieldwork Task page has four tabs:

  • General - The main task details, associations, assignment, timeline, and status (covered above)

  • Field Data - The data entry form for recording fieldwork observations and measurements. The form displayed depends on the Fieldwork Task Type (e.g., Groundwater Monitoring Event form, Non-Destructive Hazardous Materials Register form, Soil Classification form, LFG Bore Monitoring form, LFG Surface Monitoring form, Infrastructure Methane Monitoring form, SEM Remediation Event Log form). Each form is tailored to the specific type of fieldwork being performed.

  • Laboratory Data - Upload and manage laboratory analytical data files. This tab shows processing messages, file upload areas organised by laboratory, and a processing history log. Upload laboratory result files (typically CSV or Excel) which the system processes to extract and store the analytical data.

  • Documents - A searchable table of general documents associated with the fieldwork task, with options to add, download, edit, and delete documents.

Differences from the Create Page

  • Fieldwork Task Type is read-only - Cannot be changed after creation; displayed as text instead of a dropdown

  • Status field - Not available on Create; allows you to track the task through its workflow on Edit

  • Parent Task Dependencies are read-only - Shown for reference but cannot be modified on Edit

  • Tabbed layout - Create is a single page; Edit has four tabs (General, Field Data, Laboratory Data, Documents)

  • Audit Log - Not available on Create; available via button on Edit

  • After Save - Create redirects to Edit page; Edit stays on the current tab

Cautionary Notes

  • Always click "Save" before navigating to a different tab or away from the page, or your changes on the General tab will be lost

  • The Fieldwork Task Type cannot be changed after creation β€” if the wrong type was selected, you will need to create a new task

  • Changing the Project will reset the available Sites and Client Reports

  • The Field Data tab content is determined by the task type and cannot be changed

Tips for Efficiency

  • Use the Field Data tab to enter fieldwork observations directly in the system rather than on paper

  • Upload laboratory data via the Laboratory Data tab as soon as results are received

  • Use the Documents tab to attach any supporting documents (photos, notes, calibration certificates)

  • Update the Status field to keep the workflow visible to your team

  • Use the Audit Log to review the history of changes to the task
