Editing an Action Item

Standard Operating Procedure (SOP) for editing an existing action item to update details, status, and linked records

Objective

This SOP outlines the steps to edit an existing action item in EnviroAutomate. You can update the status, priority, assignment, linked records, and other details of an action item at any time.

Prerequisites

  • You must be logged in as a standard user or administrator

  • The action item must already exist in the system

Key Steps

1. Navigate to the Action Item

  • Click "Action Items" in the left sidebar under the WORKFLOW section

  • Find the action item you want to edit in the list

  • Click on the action item row, or click the edit icon (pencil) in the Actions column

2. Update Action Item Details

Modify any of the following fields as needed:

  • Name - Update the descriptive name for the action item

  • Assigned To - Reassign the action item to a different team member

  • Type - This field is read-only and cannot be changed after creation. It displays the type that was selected when the action item was created.

  • Status - Update the current status:

    • Open - Action item awaiting work

    • In Progress - Currently being worked on

    • Completed - Task finished

    • Cancelled - Item no longer needed

  • Priority - Adjust the importance level: Low, Medium, High, or Critical

3. Update Dates

  • Start Date - Adjust when work should begin

  • Due Date - Update the deadline

  • Completed Date - Set or update the completion date (typically when changing status to Completed)

4. Update Linked Records

You can change or add links to related records. These fields use cascading dropdowns:

  • Client - Change or set the associated client. This repopulates the Project and Site dropdowns.

  • Project - Change or set the associated project. This filters the Site dropdown.

  • Site - Change or set the associated site. This repopulates the Assessment Location, Fieldwork Task, and Client Report dropdowns.

  • Assessment Location - Change or set the specific location at the site

  • Fieldwork Task - Change or set the linked fieldwork task

  • Client Report - Change or set the linked client report

When editing, all cascading dropdowns are pre-populated based on the action item's existing linked records. You can change any of these without needing to re-select the entire chain.

5. Update Description

  • Modify the "Description / Notes" field to add or update context, instructions, or details

6. Save Changes

  • Review your changes

  • Click "Save" to update the action item

  • The page will remain on the Edit view with a success notification confirming the update

7. View Audit Log (Optional)

  • Click the "Audit Log" button in the top-right corner of the page to view the complete change history for this action item

  • The audit log shows who made each change and when

Differences from the Create Page

  • Type field - Selectable dropdown on Create, read-only on Edit (locked after creation)

  • Audit Log - Not available on Create, available via button in header on Edit

  • After Save - Create redirects to Edit page; Edit stays on Edit page

  • Linked record dropdowns - Start empty on Create (populate via cascading); pre-populated with existing values on Edit

Cascading Dropdown Behavior

The optional linking fields work as a cascading chain, identical to the Create page:

  • Select a Client β†’ Project and Site dropdowns are populated with that client's records

  • Select a Project β†’ Site dropdown is narrowed to sites associated with that project

  • Select a Site β†’ Assessment Location, Fieldwork Task, and Client Report dropdowns are populated with that site's records

Changing a parent field (e.g., Client) will clear all dependent fields below it.

Cautionary Notes

  • The Type field cannot be changed after creation. If the wrong type was selected, you will need to create a new action item with the correct type.

  • Changing the Client will clear all linked Project, Site, Assessment Location, Fieldwork Task, and Client Report selections

  • Always click "Save" before navigating away, or your changes will be lost. You can use Cmd+S (Mac) or Ctrl+S (Windows) as a keyboard shortcut to save.

Tips for Efficiency

  • Update the Status field promptly as work progresses to keep your team informed

  • Set the Completed Date when changing status to Completed for accurate tracking

  • Use the Audit Log to review the history of changes if you need to understand what was modified and by whom

  • Use Cmd+S (Mac) or Ctrl+S (Windows) to quickly save your changes

  • Press Esc to close the page and return to the Action Items list
