Managing a Document

Standard Operating Procedure (SOP) for editing a document's details, viewing previews, updating associations, and downloading files

Objective

This SOP outlines how to view and edit an existing document in EnviroAutomate. The Edit Document page allows you to update the document's name, type, and associations, preview the file, and download it.

Key Steps

1. Navigate to the Document

  • Click "Documents" in the left sidebar under the Tasks section

  • Find the document you want to view or edit in the list

  • Click on the document row, or click the edit icon (pencil) in the Actions column

  • You can also access documents from the Documents tab on a Site, Project, or Fieldwork Task edit page

2. Update Document Information

The Document Information section shows:

  • Filename - The original filename of the uploaded file (read-only)

  • Document Name - Update the descriptive name for the document

  • Document Type - Change the document type from the dropdown. This is required.

  • File Size - The size of the uploaded file (read-only)

3. Update Associations

Change which entities the document is linked to using the cascading dropdowns:

  • Client - Change the associated client. This filters the Project and Site dropdowns.

  • Project - Change the associated project (filtered by client). This filters the Fieldwork Task and Client Report dropdowns.

  • Site - Change the associated site (filtered by client). This further filters Fieldwork Task and Client Report.

  • User - Change the associated user

  • Fieldwork Task - Change the associated fieldwork task (filtered by project and site)

  • Client Report - Change the associated client report (filtered by project and site)

When the page loads, any existing associations are pre-selected in the dropdowns.

4. Preview the Document

The Document Preview section at the bottom of the page shows a preview of the file:

  • Image files (JPG, PNG, GIF, etc.) are displayed as an inline image preview

  • PDF files are displayed in an embedded PDF viewer

  • Other file types show a "Preview not available" message with the file's MIME type

5. Download the File

  • Click the "Download File" button to download the original file to your computer

6. Save Changes

  • Click "Save" to update the document's name, type, and associations

  • The page will remain on the Edit view with a success notification

7. View Audit Log (Optional)

  • Click the "Audit Log" button in the top-right corner to view the change history for this document

Differences from the Create Page

  • File upload - On Create you upload a file; on Edit the file is already uploaded and the Filename is read-only

  • File Size - Displayed on Edit but not on Create

  • Document Preview - Only available on Edit, showing image or PDF preview of the uploaded file

  • Download File button - Only available on Edit

  • Audit Log - Only available on Edit

  • Existing associations are pre-selected in the dropdowns on Edit

Cautionary Notes

  • The uploaded file itself cannot be replaced β€” if you need to upload a new version, create a new document and delete the old one

  • The Document Type field is required β€” it cannot be left blank

  • Changing the Client association will reset the Project, Site, Fieldwork Task, and Client Report dropdowns

  • Always click "Save" before navigating away or your changes will be lost

Tips for Efficiency

  • Use the Document Preview to quickly verify you are looking at the correct document without downloading

  • Keep document associations up to date so documents appear on the correct Documents tabs throughout the system

  • Use the Audit Log to see who uploaded or modified a document and when

  • Use Cmd+S (Mac) or Ctrl+S (Windows) to quickly save changes
