Fieldwork Tasks: Documents Tab

Standard Operating Procedure (SOP) for managing documents attached to a Fieldwork Task on the Documents tab in EnviroAutomate.

Objective

View, upload, download, and manage documents attached to a fieldwork task. The Documents tab provides a searchable, sortable library of all files associated with the task, including photos and files captured in the field.

Prerequisites

  • A Fieldwork Task must exist in EnviroAutomate.

  • You must have access to the Fieldwork Tasks section.

Accessing the Documents Tab

  1. Navigate to Tasks > Fieldwork Tasks in the sidebar.

  2. Click on an existing fieldwork task to open the Edit page.

  3. Click the Documents tab.

What You Will See

The Documents tab displays a table of all documents attached to the fieldwork task. If the field technician captured photos or files during their field submission, those will appear here automatically.

Searching and Filtering

Use the controls at the top of the document list to find specific files:

  • Search by Filename — type a filename or partial match in the search box and press Enter or click the search icon. Press Escape or clear the field to reset.

  • Filter by Document Type — use the dropdown to filter by type (e.g., Photo, Lab Certificate, Chain of Custody). Select a type and the list updates automatically.

  • Clear Filters — click the Clear Filters button to reset all search and filter criteria.

Sorting

Click any column header to sort the document list:

  • Filename — sort alphabetically by file name.

  • Type — sort by document type.

  • Size — sort by file size.

  • Updated — sort by last modified date.

  • Created — sort by creation date (default sort, newest first).

Click the same column header again to toggle between ascending and descending order.

Adding a Document

  1. Click the Add Document button in the top-right corner.

  2. You will be taken to the document upload page.

  3. Select a file, fill in any required metadata, and save.

  4. You will be returned to the Documents tab after saving.

Downloading Documents

  • Individual file — click the download icon in the Actions column for any document.

  • Download All (ZIP) — click the Actions dropdown menu and select "Download All (ZIP)" to download every document in a single ZIP file.

  • Download Photos (ZIP) — click the Actions dropdown menu and select "Download Photos (ZIP)" to download only photo-type documents.

Editing a Document

  1. Click the edit (pencil) icon in the Actions column for the document you want to modify.

  2. Update the document metadata as needed.

  3. Save your changes to return to the Documents tab.

Deleting a Document

  1. Click the delete (trash) icon in the Actions column.

  2. Confirm the deletion when prompted.

Document Table Columns

  • Filename — the name of the uploaded file.

  • Type — the document type category (e.g., Photo, Lab Certificate, Report).

  • Size — the file size displayed in a human-readable format (KB, MB).

  • Updated — when the document was last modified, shown in your local time zone.

  • Created — when the document was originally uploaded, shown in your local time zone.

  • Actions — download, edit, and delete controls for each document.

Cautionary Notes

  • Deleting a document is permanent and cannot be undone.

  • Documents captured by the field technician via the mobile app (such as photos) are automatically attached when the field submission is processed.

  • The Documents tab is available for all fieldwork task types, regardless of whether the task has been dispatched or submitted.

Tips for Efficiency

  • Use the Download Photos (ZIP) option to quickly retrieve all site photos for inclusion in client reports.

  • Filter by document type to quickly locate lab certificates or chain of custody documents.

  • Documents are sorted by creation date (newest first) by default, so recently uploaded files appear at the top.
