Receiving a Dispatched Fieldwork Task in the EnviroAutomate App

What to expect when EnviroAutomate dispatches a fieldwork task to you - finding the form in your inbox, what is pre-filled before you start, and what to do if a task you expect is not there.

How dispatch works

When a fieldwork task is created in EnviroAutomate and assigned to you (with Dispatch Now? ticked), EnviroAutomate sends the relevant form to your FastField inbox along with everything that can be pre-filled - the Site, the assessment locations, the task identifier, and any other context the form needs.

This means when you open the form on site, you don’t have to re-type Site information or look up well IDs - they’re already there waiting for you.

Finding your task in the app

  1. Open the FastField app on your phone or tablet.

  2. You should land on your Inbox - this is where dispatched forms appear.

  3. Pull down to refresh and pull through any newly dispatched tasks.

  4. Tap the form to open it.

The form name typically includes the Site name and the fieldwork task name, so you can quickly tell tasks apart if you have several dispatched at once.

What is pre-filled

The exact pre-filled fields depend on the form type, but in general the following are populated for you on dispatch:

  • Site - the Site the work is being done at.

  • Site ID - hidden identifier used to filter location dropdowns to this Site only.

  • Project - the Project the task belongs to.

  • Fieldwork task identifier - so the submission can be matched back to the right task in EnviroAutomate.

  • Assessment location lists - the wells, bores, or other locations at the Site, ready to pick from a dropdown.

  • Assigned technician - your name (or the user the task was dispatched to).

You should not need to change any of these. They’re populated from the EnviroAutomate database and changing them on the form will not change them in EnviroAutomate.

If a task you expect is not in your inbox

  • Pull down to refresh the inbox - new dispatches sometimes need a manual refresh to appear.

  • Check you’re signed in as the right user - tasks only appear for the technician they were dispatched to.

  • Check the task is dispatched in EnviroAutomate - ask the person who created the task to confirm Dispatch Now? was ticked, or to re-dispatch the task to you. Saving the task without that ticked stages the task but does not send it to FastField.

  • Check your internet connection - dispatched tasks need to download once to appear. Once downloaded they’re available offline.

Tips

  • Refresh your inbox while you still have a strong wifi connection (e.g. before leaving the office). Once a form is in your inbox, you can fill it out fully offline.

  • If a task is re-dispatched (for example, the assignment was changed), you may see the form appear again - use the most recently dispatched copy.

  • Don’t edit the pre-filled Site / Project / Fieldwork task identifier fields - they are what links your submission back to the right record in EnviroAutomate.
