Fieldwork Tasks: Laboratory Data Tab

Standard Operating Procedure (SOP) for uploading and managing laboratory analytical data on the Laboratory Data tab of a Fieldwork Task in EnviroAutomate.

Objective

Upload and manage laboratory analytical data files for a fieldwork task. The Laboratory Data tab allows you to create file sets, select laboratories, upload lab result files, and review processing messages.

Prerequisites

  • A Fieldwork Task must exist and the field technician must have submitted field data via the mobile app.

  • At least one laboratory must be configured in Scientific Settings > Laboratories.

Accessing the Laboratory Data Tab

  1. Navigate to Tasks > Fieldwork Tasks in the sidebar.

  2. Click on an existing fieldwork task to open the Edit page.

  3. Click the Laboratory Data tab.

Note: The Laboratory Data tab is not available for LFG Surface Emission Monitoring, SEM Remediation Event Log, and Infrastructure Methane Monitoring task types.

Key Steps

Step 1: Add a Data File Set

  1. Click the Add Data File Set button at the top of the page.

  2. A new file set card will appear (e.g., "Lab File Set 1").

  3. Each file set contains one or more groups (e.g., "Primary Laboratory Data", "Secondary Laboratory Data") that represent different data groups for the task.

You can add multiple file sets if you receive lab results at different times or from different laboratories.

Step 2: Select a Laboratory

Each group within a file set requires a laboratory to be selected before files can be uploaded:

  1. In each group card, you will see laboratory selection cards showing available laboratories with their name, phone number, and address.

  2. Click Select Laboratory on the appropriate lab card.

  3. Once selected, the lab code badge appears in the group header and file upload fields are displayed.

Important: Each laboratory can only be selected once per file set. If a lab is already in use by another group in the same file set, it will appear greyed out with an "Already in use" label.

To change a laboratory after selection, click the Change Laboratory link. This will discard any uploaded files for that group.

Step 3: Upload Laboratory Files

After selecting a laboratory, file upload fields will appear. The specific fields depend on the laboratory's configuration and may include:

  • Chain of Custody — the chain of custody document (PDF).

  • Sample Receipt — the sample receipt document (PDF).

  • Summary — a summary report (PDF).

  • Certificate of Analysis — the laboratory's certificate of analysis (PDF).

  • Quality Control Report — the QC report (PDF).

  • QA/QC Assessment — the QA/QC assessment document (PDF).

  • Sample Data — the sample data file (CSV).

  • Chemistry Data — the chemistry results data file (CSV).

Not all fields may appear for every laboratory — the fields shown depend on the laboratory's supported file format configuration.

  1. Click Choose File for each field and select the appropriate file from your computer.

  2. After selecting all files, click Save at the bottom of the page to upload them.

Once files are uploaded, they appear as clickable links showing the filename and file size. You can download uploaded files by clicking the filename, or delete them using the trash icon.

Step 4: Review Processing Messages

After files are uploaded and processed, a Processing Messages card may appear showing the results:

  • Success (green) — files were processed without issues.

  • Warnings (yellow) — processing completed but some issues were flagged (e.g., unmatched analytes).

  • Errors (red) — some data could not be processed (e.g., invalid format, missing required fields).

Each message may include an action link (e.g., "View") that takes you to the relevant settings page to resolve the issue.

Processing History

Below the file sets, a Processing History table shows a log of all processing runs:

  • Date/Time — when the processing occurred.

  • User — who triggered the processing.

  • Result — success, warnings, or errors with counts.

  • Messages — expandable section to view detailed processing messages for each run.

Downloading Files

  • To download an individual file, click the filename link on any uploaded document.

  • To download all files across all file sets, click the Download All (ZIP) button at the top of the page.

Deleting a File Set

To remove an entire file set and all its uploaded files:

  1. Click the Delete File Set button on the file set card header.

  2. Confirm the deletion in the dialog that appears.

Cautionary Notes

  • The Add Data File Set button is disabled until the field technician has submitted their field data.

  • Changing a laboratory on a group will discard all uploaded files for that group.

  • Deleting a file set removes all files permanently.

  • Processing messages with errors should be resolved before proceeding to generate client reports.

  • If processing messages mention unmatched laboratory analytes, a Tenant Admin may need to configure the analyte mapping in Scientific Settings.

Tips for Efficiency

  • Upload all files for a group before clicking Save — this processes them in a single batch.

  • Use the Download All (ZIP) button to quickly retrieve all laboratory files for archiving or review.

  • Check the Processing History if you need to review results from a previous upload run.

  • If you receive results from multiple laboratories for the same fieldwork task, create separate file sets for each round of results.
